As of July 31, Ke Kula ʻo Kamehameha ma Hawaiʻi will be using a new visitor management system across our campus. Originally piloted by Kula Haʻahaʻa, our kula will be using the Raptor Visitor Management System called VisitorSafe. The procedure itself remains the same: All visitors, vendors, and volunteers are required to check-in to division offices with a government-issued photo ID and sign-in, wear a designated badge at all times as well, and sign-out when leaving.
Who needs to use this system?
Anyone who is not a student or employee of Kamehameha Schools is considered a visitor and needs to check-in to this system if visiting campus during school hours. This includes ʻohana members, invited guests, volunteers, and vendors. It is important for our campus safety that everyone has a clearly identifiable badge that says they are in the right place. The exceptions are those who are coming for quick drop-offs/pick-ups or brief office visits, shopping at the PTO School Store, public athletic events, or events after office hours/on weekends. These visitors do not require a visitor badge at this time. Different check-in procedures may be used for those instances.
What is Raptor VisitorSafe?
Raptor began with a vision to build the first web-based Visitor Management system designed specifically for K-12. Raptor VisitorSafe screens an average of 5.3 million visitors, flags 1,000 sex offenders and provides schools with more than 625 custom alerts per month, most often child custody related. Raptor VisitorSafe helps ensure campus safety by providing a proactive streamlined, and user-friendly visitor experience. Advanced identity verification technology ensures that approved and safe individuals can access campus.
How does Raptor VisitorSafe work?
Upon arrival at a campus check-in location, visitors are required to present a government-issued ID such as a Driver’s License, State ID, or passport for scanning at the VisitorSafe kiosk. Once verified and approved, VisitorSafe will issue a badge that identifies the visitor, the date, and thelocation of their visit. Visitors scan their badge barcode at the kiosk to sign out to conclude their visit.
How does Raptor VisitorSafe screen visitors?
VisitorSafe checks to ensure that registered sexual offenders are not entering our school campuses without our knowledge. VisitorSafe checks the visitor's legal name and date of birth for comparison with a national database of registered sex offenders. Visitors are also screened against campus ban lists, temporary and permanent restraining orders (TRO/PROs), and be on the lookout (BOLO) lists that are uploaded into the system. No other personal data from the ID is gathered, stored, recorded, or shared with any outside agencies.
Does VisitorSafe store my identification information?
VisitorSafe records each first-time visitor’s legal name, date of birth, and the last four digits of their government-issued ID. No additional ID data is collected or stored, and the information is never shared with external agencies. Raptor Technologies adheres to strict cybersecurity and industry security compliance standards to ensure secure data storage. More information is available at: https://trust.raptortech.com/.
Can I pre-register my government issued ID prior to coming on campus?
Yes, visitors can download the Raptor Safe app from the Apple Store or Play Store to your mobile phone, create a profile, and scan your government-issued ID to generate a QR code. This enables a quicker, efficient check-in process.
What is the Raptor Safe App?
The Raptor Safe app offers a convenient and secure way for visitors to manage and verify their identity through their mobile phone prior to arriving on campus. Using the Raptor Passport feature, visitors can pre-verify their identity and generate a QR code for seamless campus entry.
How Does Raptor Safe Work?
When visiting campus, visitors can choose to sign-in using their secure QR code generated by the app to expedite the check-in and check-out process. For added security, QR codes automatically regenerate every 5 minutes to prevent misuse.
How do I download the Raptor Safe App?
The Raptor Safe app is available to all visitors across the state. To download the app, please visit https://raptortech.com/raptorsafe-app/.
What types of IDs are accepted?
Most government-issued IDs are accepted, including driver’s licenses, state IDs, and passports. If a visitor presents a paper ID or the system cannot recognize the ID due to damage, the office administrator may complete a manual check-in using the desktop application.
What happens if I don’t have an ID?
In accordance with Kamehameha Schools Hawai‘i campus policy, all visitors must present a government-issued ID to gain access to the campus. This policy requirement permits staff to accurately identify individuals and conduct screening checks to help ensure the safety of our students. Underage visitors without an ID may be manually checked in by the office administrator using the desktop application.
What happens if I need to visit campus outside of school hours?
Visitors must check in at the Division Office between 7:00 a.m. and 3:30 p.m. on school days. Outside of these hours, campus access will require manual check-in. Brief visits—such as drop-offs, pick-ups, or deliveries—do not require Division Office check-in.

What should I do if the Raptor system is down during visitor check-in?
If the Raptor system is unavailable, see the front office staff who are able to do a manual check-in process and then can perform a ‘Delayed Entry’ using the desktop application to input the visitor information into VisitorSafe once the system is restored. Full legal name and date of birth will be needed to complete the check-in.
FOR KS EMPLOYEES
How do I request a visitor to come to campus?
KS Hawaiʻi staff must obtain prior approval from their Division Poʻo at least 24 hours before the scheduled visit. Once approved, staff shall complete the Campus Access Request Form [KS staff only] on behalf of the visitor(s).
I’m expecting a large group of visitors. How can I expedite the check-in process?
KS Hawaiʻi staff must obtain prior approval from their Division Poʻo at least 24 hours before the scheduled visit. For large groups, employees should contact their Division Office as early as possible so visitors can prescreen through Raptor VisitorSafe. Full legal names and dates of birth are required for each visitor.
I work at a regional KS office or a different campus, do I need to check-in?
No. All Kamehameha Schools staff have a universal ID. Per KS policy, all staff are required to wear their new ID when on campus and at KS events if working. If you do not have your ID badge or are not working when visiting KS Hawaiʻi, then you should use the VisitorSafe system to check-in.
If an ID isnʻt scanning, can I sign them in manually?
Yes, you can manually sign in a visitor using your computer if you have a Raptor System user account. However, please note that when a manual sign-in is done from a desktop and an alert appears to determine if the visitor is a “Match” or “No Match”, a Possible Alert (via text or email) is NOT sent out. This is because the system recognizes that an authorized user is already present to handle the alert. In contrast, when a visitor signs in using the kiosk, the system does send out a Possible Alert to designated personnel. This extra layer of notification helps enhance campus safety and ensures timely responses. For this reason, we strongly encourage the use of kiosks for visitor sign-ins whenever possible.
